Turn Announcement on and your waitlist writes itself an embed for your Discord server. Publishing the waitlist posts it, with a Join the waitlist button carrying the join link. You write the message; the timing and the link come from the waitlist.

Announce a waitlist in Discord

Playbook: turn it on, write the message, and publish.

Recruit with a waitlist

Playbook: turn a sign-up list into a playtest roster.

What you need first

A connected Discord server. There is nowhere to post without one, so until a server is attached the Announcement card stays visible but inert, naming what it is waiting for. Every waitlist is eligible. Unlike playtests and key vaults, there is no second condition to meet.

Discord integration

Connecting a server and approving the bot. An Admin does this once.

Turn it on

1

Enable the toggle

Open the waitlist’s Config tab.Click the Announcement card and switch it on.An Announcement tab appears in the tab bar.
2

Write the message

Open the Announcement tab.Set the content, the appearance, and the channel it posts to. The preview above shows the embed as Discord will draw it.
3

Publish the waitlist

Click Publish and confirm. The join link goes live and the announcement posts to your channel.
On a draft, turning the toggle on posts nothing. It creates the announcement so you can write it, and the post waits for publish. On a waitlist that is already published the post goes out the moment you turn the toggle on, because there is no later moment to wait for.

What the message carries

The Announcement tab is the same composer a standalone announcement uses, with two differences: there is no Links card, and there is no schedule. Leave the cover empty and the post falls back to your studio’s branding background. The button is not yours to set. It always reads Join the waitlist and always carries this waitlist’s own join link, which is why the Links card is missing.
A waitlist announcement is the one worth pinning. It recruits for playtests you have not built yet, so unlike a playtest post it does not go stale the moment a cap fills.

What it costs

Publishing the waitlist posts the announcement, and that spends one announcement message from your plan. If your allowance is empty, publishing the waitlist is blocked rather than publishing without the post. You can upgrade, or switch Announcement off in Config and publish without one.

Announcement allowances by plan

How many messages your plan includes, and how unsent ones come back.

Editing it while the waitlist is live

You can keep editing the message after the waitlist publishes. Save a card and the post in Discord is rewritten in place, keeping its position in the channel along with its reactions and replies. An edit spends nothing. Your questions and eligibility rule freeze at publish, but the announcement does not. Fixing the wording of the post is always available. Resetting the join link mints a new address and kills the old one immediately, which would normally strand an announcement already sitting in your channel. It does not. The Join the waitlist button on the live post is rewritten to the new address. This is an edit rather than a new post, which is why it is free.
If the Userplay bot has lost access to the channel, the rewrite cannot go through and the post keeps the old link. Restore the bot’s permissions, then save the announcement again.

Turning it off

Switching Announcement off takes the post out of Discord and returns the message if it had not gone out yet. Everything you wrote is kept, so switching it back on restores the message. Unpublishing the waitlist does the same thing to the post, and archiving it takes down anything it still had posted.
Unpublishing and republishing spends a second message. A post that already reached your community is spent, so republishing sends a genuinely new one.

Resource announcements

The same feature on playtests, surveys, and key vaults.

Join link
